Fall is here and it is time to re-visit your current installations to scout for new expansion of the already installed ECM solutions.
You hear us talking about "Dynamic Documents", which means there also has to be documents that are simple "Archival Documents".

"Archival Documents", such as Birth or Death Certificates, are stored in ECM with the idea that they can be retrieved, if needed, but they are not a part of a daily business transaction.

"Dynamic Documents" are active documents, such as PO, Shipping Legend, Invoice and Payment Transaction. Or, the thirteen documents that need to be signed to complete a real estate transaction.

"Dynamic Documents" can also be a group of work-orders that needs to be tracked for a project; or, in the production, it could be the batch documents for a production run.

In the above examples, it is clear that Integration between ECM and other software programs, and their data, are important. However, since many "Dynamic Documents" always require a "Next Step" action, the Automation can be put in place. As an example, the PO, Shipping Legend and Invoice could not only ping Accounts Payable to pay the Invoice, but it could also get authorized by the right person with information to post it to a specific account, if needed.

Very simple Automation could be set in place to do the above example without the cost of expensive Workflow solution.

Some systems will always deal with only "Archival Documents", but others do have "Dynamic Documents" that are currently handled as "Archival Documents". With a headline for an AIIM webinar like this, one has to pay attention:

"ECM Should Not Be a Stand Alone System"

AIIM's invitation points out "We know that content stored in multiple repositories is difficult to integrate, search, and make compliant. That's a big problem for getting work done efficiently and safely. According to recent AIIM research, 61% of workers have no connection between their ECM and their other business systems. In other words, this valuable business data isn't living up to its full potential."

NTS was founded with the goal to Integrate and Automate ECM systems. Back in 1993 when NTS was founded, it was called Document Management, but the concept is still the same.

By using add on tools, like the NTS ASHXtender, one can easily integrate any website to the EMC's Application Xtender, thereby; it becomes an integrated part of the website, including look and feel.

Notice that it is not enough to just have other business systems "talk" to your ECM system, or reverse the ECM system talking to the business system, it should also have the look and feel so the users do not have to think "oh, I am in this program, therefore, I have to do this." In other words, data should be flowing naturally to and from the user's screen.

When Integration is being designed for implementation, this is the time to look at what can be automated in the process. Most work we do today is repeated work. Some work may require other actions that need to take place, and this is where the Automation comes into play.

Automation can be as simple as a notification (email or txt) to be sent. Or, it can be much more complicated with a trickle effect of things to happen as done with a Workflow solution.

One more footnote on Integration and Automation, many of the current implementations are directed and implemented for solving one or a group of user's needs, but not resolving the working team's needs.
