When migration from one ECM system to another, there are so many things to think about.

Here are some notes that may help in doing it the right way:

Create two applications: One thick client application that can run in the background as either a service or a simple Wintel executable, and one as a thin web-based application.

The thick client application, is the application that does all the heavy lifting: Take inventory, map fields to new fields, convert documents (images) if needed, store new documents in the new repository and update the new index database.

Most of the thick client's job is management of: what needs to be converted, what can be converted and what has been converted. Plus do the Check-And-Balance part of the conversion, to ensure everything has been converted correctly.

Try to create as much as possible in SQL queries, which can do all the database manipulation. Use batches of data, so minimum login and logout from the database is needed.

Keep status information instead of separate bit fields of status.

Create None-Clustered-Index's on any fields that would be searched on to speed-up the SELECT query parts.

The web-based application should be a simple dashboard application. This way the user can see what is going on. Do auto refresh of the web-page so the web-based application will always display current information. Try to calculate forecasts of "job done" by the thick application to help with benchmarks.

Complicated? Yes, but we can help!

Why talk about migration from one ECM system to another?

Does this happen that often?

ECM Migration!

Here are some examples when the migration is needed:

A company is merged with another company and each of the two companies has corporate documents stored in different ECM systems.

In the early days of ECM, ECM many times was not a corporate wide solution. Net result was that sometimes one department had a different ECM than another department.

New management is deployed and someone came from a company where they had a much more advanced ECM system so management makes the decision to move to the more advanced ECM system.

Vendors always compete for market shares and sometimes that means that a vendor is willing to do and/or pay for some of the conversion from the "older" ECM system to the vendors "newer" ECM system.

Sometimes companies are expanding their business and are forced to either upgrade from one ECM system to another ECM system, from the same vendor, or from a new vendor.

In some cases, upgrade of hardware enables companies to also upgrade or switch ECM system.

So many conversions, from one ECM system to another, do not happen to the same company every month or year. If you are an ECM VAR and have a large costumer base, then it will happen from time to time and you better be prepaid to help your clients.
