Let's talk compliance; like HIPAA (Health Insurance Portability and Accountability Act, a 1996 Federal law that restricts access to individual's private medical information).

To be compliant, means that you, from time to time, need to validate that special documents have only been accessed by personnel that have the right to retrieve and read those documents.

In general, this is done via using Active Directory group login. The question is, who controls the Active Directory and how accurate is it updated when personnel leave or are moved from one department to another.

There is no HIPAA Police, but each company that states they are HIPAA compliant needs to ensure that they really are compliant.

This is where the AX Audit Log database comes handy, in that, it can include AX User actions with regards to all documents in any AX application, or all AX applications.

Since the EMC AX product does not come with an Audit Viewer, the companies that are concerned about compliance with HIPAA, or for that matter any other compliance, will need to either write their own SQL filter to inspect the AX Audit Log table, or use the NTS newly released Rx-Manager program.

The NTS Rx-manager will help the operator filter the large amount of recorded audit events in the AX Audit Log database table to something that is useful regarding validation of compliancy.

Complicated? Yes, but we can help you!

Good health is important, and that also goes for your ECM system.

In the last couple of months, we have talked in this newsletter about why it is important for your ECM system to be monitored in order to be as healthy as possible.

NTS New software Rx-Manager

NTS has released the Rx-Manager software program for the EMC Application Xtender (AX).

The Rx-Manager will help both small and enterprise wide AX installations to run more efficiently. The program works on the AX database and repository and does not alter the index of the system.

One of the more powerful Rx-Manager panels, in the program, is the AX Audit Filter. The filter gives the operator an easy way, without programming, to extract specific information from the very complex and complicated AX Audit Log database table.

One of the benefits of the filter is that the operator can get a full document history, from the day the document was created to the last retrieval performed.

This Document Centric View can still produce large amounts of document history recorded events; therefore, the operator also has the option to filter on what events should be shown, or excluded, from the result output. If only the last couple of weeks of events are important, then the operator can set the date range for the output. If it is needed, even a specific AX User's interaction with the document can be applied.

The filter can also be AX User Centric, where the operator can select a specific AX User and if needed, add date range and specific actions, such as altering the document's index information or deleting pages in documents can be applied.

If AX audit is important, then Rx-Manager is a must have tool.
