How does the Document History be recalled and displayed?

In the Application Xtender (AX) installation, the many times overlooked, AX Script Tool Bar is expanded with a Doc History button.

The History Button associated AX Script, calls the AX program for information about the current displayed document. That information includes Data Source, Application ID and the unique Doc ID.

After this information is obtained, the AX Script calls the Rx-Manager, and via its very extensive command-line structure, it requests the Rx-Manager to display the Audit data that is associated with the current displayed document. The history is displayed in ascending date order, so the document creation is at the top of the list and the last time some action was taken is at the bottom on the list.

If a document has been very active, the user may either re-sort the data or re-filter the data, so the information that is import to the user is revealed.

Re-sorting, by clicking on the specific column, can be as simple as just showing the history in descending date order. Or maybe in User order.

Re-filtering, by altering the Filter part of the Rx-Manager GUI, the displayed history maybe to specify the last 90 days of activities, or a special action like updating of pages or index information.

Sometimes the Document History need to be interrogated with other information or it may be needed to be added to a report. In both cases this can be done by saving the displayed history in a CSV formation file that can at a later time be opened in Excel or any other data manipulation program.

After users have used this function of seeing the Document History together with the displayed document, they often question, how they have been able to do their job without having this One Click Feature available to them.

Obtaining Document History of stored documents can be important when viewing a document.

There are in general four basic categories of Content Services (CS) / Electronic Content Management (ECM) system implementations:

Archival: The plain form of CS or ECM is where documents are simple just stored for archival purpose and may or may not ever be retrieved.

Storage & Retrieval: This is an implementation where stored documents are actively retrieved in the first periods of their life cycle, like the first 90 or 180 days.

Routing: Many times this is an expansion to the base system, when documents are routed to special members either per distribution lists or ad-hoc to team members.

Workflow: Top of the line is Workflow when it comes to very active documents that are a part of a life cycle of events depending on the document type.


One Click gets Doc History


If we for a second, like judging ice-skating, skip the top and the bottom of implementation ranking we have the Storage & Retrieval and the Routing.

It is seldom seen in those implementations that there is a document history option, like who create the document, has the document been updated, if so by whom and when was that update. Plus the more obvious; who have seen this document and when. Yes their may be Audit files or Reports to query, but there is no Document History button (till now).

With the NTS Rx-Manager there is no need to alter the current data and layout of the Application index. The program is simply using the Audit information to filter out, on the fly, the special information about the current viewed document (see sidebar for more information) and displaying it to the user via one single click.

Would this also work in the Archival and Workflow implementations? Absolutely it will. Since the Archival is seldom retrieved then this may have little to no benefits whereas in Workflow this is an important benefit and may already been implemented by the Workflow software, if not the NTS Rx-Manager can provide this benefit to the users.
