Benefit of a monthly reporting system:

Insights:
The monthly reports will reveal insights to how the end user's system is used. What applications are used daily and how much are they used. What applications are used as simple archival of documents with very few retrievals. And are there applications that should be spooled of the system, since they are not used.

Knowledge:
By being a part of running the clients monthly reports the dealer will have inside knowledge to where things could be improved; training, more license, better equipment, automation or even benefits of workflows. Those monthly reports could reveal sales that else would never have seen daylight.

Prove of Health:
The monthly reports can be expanded to include validation of documents vs pages, pages vs documents, and ensuring that the stored page (BIN) files can be found and read, not just hoping that it is the case when a document is needed.

Real-time debugging:
Up to now the internal audit table have been viewed as a postmortem snapshot of what have happened, but with NTS Rx-Manager Built-in Warnings / Alarms function the audit table can become a value real-time tool to ensure that the system is working as expected.

Maintenance:
Using the monthly reports as an insurance that the dealer is in constant connection with the end user, and their system. This means, when Maintenance renewal comes around, the end user knows how valuable the dealer is to the system and has a selling point internally to why Maintenance is a good thing, as is worth the cost.

The cost of Maintenance has always been a point of debate. The software vendor, and its dealer network, highlights that this gives the end user a way of staying current plus titles them to some support.

Some end users can't see the benefits for the "high cost" of Maintenance fee. If they skip out of the Maintenance, they get left behind, and this is where a dealer sometimes is losing the end user to a competitor, that promise to get them current with their system.


Maintenance is worth the cost


The way NTS sees the picture is that we can continue as we have done for years and nothing will change, once a year the Maintenance comes up and everyone gets nervous.

Let's modify this in a very simple way that will not only ensures that the dealers have a good reason for the Maintenance fee but also the end user would have a selling point to the boss for spending the money.

How can we do this: Simple, install the NTS Rx-Manager and via the Windows Scheduler run on the first day in the month the statistic reports for the last month usages of the system. See sidebar for benefits of those reports.

The reports can easily show which Applications are retrieved the most and by whom. It can also show which Applications are growing the fastest with new documents and how many.

Heavy used applications may yield in sales of more licenses.

Applications that is less used should be researched to see why and maybe that is a training issue that is needed for getting things more efficient.

Some applications could be dead and most likely should be spooled off-line to make the system more effective.

The key is that every month, twelve times a year, the end user sees that the dealer is involved in the system and each report can clearly make a case for why Maintenance is important and worth the cost.
